Nurses Scheduling Meetings

3 Ways to Arrive at Scheduled Meeting Flow

  1. On the meeting screen, click on More Options, then Schedule Another Meeting.
  2. Go to the Meetings page and select Schedule a Meeting at the top.
  3. Go to the Meetings page, find a past meeting with the patient you want to meet with, select the meeting, then scroll to the bottom and select Schedule Another Meeting.

Steps

  1. Choose State, ensure it is the state the patient is in.
  2. Select the topic or call type for the meeting.
  3. Choose the Nurse very intentionally. If it can really be anyone, keep it at “Any Available Nurse”. If you want it to be you or someone in particular, choose accordingly. The calendar times will reflect the availability of your choice here. 
  4. Calendar reflects only Nurse shifts and clinic hours. If you select “Meet outside of regular clinic or shift hours", you can meet with them at any time. Only Nurses have access to select this. Also, be sure you do this very intentionally.
  5. Select a day and time.
  6. Ensure your own timezone is selected (not the patient’s).
  7. This next page lists all of the notification methods and participants for the meeting. You can check and uncheck a patients’ caregivers as participants. If they are checked, their account will be notified at whatever notification methods they’ve provided to us (email and/or phone). You can also add additional participants for a meeting by adding their email and/or phone number. Note that additional participants do not get saved for the future, like caregivers do.
  8. On the meeting confirmation page, you can optionally add a note to the Nurse for the meeting. They will see this note in their account before and during the meeting. 
NOTE: Nurses Cannot Add Caregivers

You can’t add caregivers for patients. You can only add additional participants. If you want to add an official caregiver for a patient, let the support team know and they will add them for you. Also specify whether you’d want the patient’s caregiver to be included in their next scheduled meeting.

NOTE: Changing Existing Meetings

You can edit or reschedule any meeting (more details in Use Cases). 

  • Can go into an upcoming meeting and edit/add participants, reschedule the meeting, and even change the Nurse.
  • Note that it is possible to change the Nurse without changing the time (effectively passing the meeting off to another Nurse).

Use Cases

Changing a Nurse, Meeting Time, or Call Type

  1. Find and select the meeting in your upcoming meetings. 
    1. If you are changing the Nurse or call type, note down the date and time of the meeting in your own timezone so you can enter the same one later. 
  2. Scroll to the bottom of the meeting details page and select Reschedule Meeting
  3. Select Reschedule Meeting again on the pop up.
    1. To pass the meeting off to a different Nurse, select the dropdown of Nurses and choose which Nurse you want the meeting to be with. Then ensure to choose the same date and time of the meeting (from your timezone’s perspective).
    2. To reschedule, use the calendar to select the new day and time (from your own timezone’s perspective). 
    3. To change the call topic, click on the red X next to the Topic at the top (see screenshot below). Select the new topic. Then reselect the same date and time of the meeting in your own timezone.  
  1. Continue with step 7 the scheduling Steps above to complete the process. 

Rescheduling without a shift scheduled in platform

Follow the steps above to reschedule the meeting. However, on the page to choose the date/time of the next meeting, select the button that says “Meet outside of regular clinic or shift hours”. Once you do this, you will see timeslots open up past your scheduled shifts.
