Syncing Your Google Calendar to PocketRN

This is a step-by-step guide for syncing your Google Calendar to PocketRN. Doing this enables PocketRN to read your calendar, ensuring that patient visits will not overlap with your other calendar events. PocketRN appointments will also be displayed on your calendar when they are scheduled.

Step-by-step 

Go to “Calendar Preferences” in your “My stuff” page and follow the instructions to authorize Google Calendar sync with your PocketRN work email account.

What to expect

With a synced calendar, patients and caregivers will not be able to schedule meetings that overlap with existing events on your Google calendar, even if those events are unrelated to PocketRN.  Additionally, when a patient or caregiver schedules, reschedules, or cancels a PocketRN meeting, the meeting event will show up on your calendar or be removed as appropriate. A PocketRN platform meeting event will appear as a yellow-color-coded meeting on your calendar, like so:

The title of the event is the call topic ID, which may appear as an alphanumeric value, starting with “C_”.

The length of the appointment depends on the listed appointment length of the call topic in the platform plus any buffer time needed for documentation. The description contains a link to the meeting with its meeting ID.  If you are on the PocketRN app, you will be automatically navigated to that meeting when it starts, or you can click the link to go to it directly.

Since Google Calendar syncing works with all Google accounts and not just HIPAA compliant accounts—like those under the @pocketrn.com domain—we cannot display any sensitive information within the event.  By clicking on the link in the calendar, you can review more details about the meeting after logging into your PocketRN account.

You may adjust any aspect of the meeting you wish, including its title and description.  However, any changes you make will not be reflected in the actual PocketRN meeting within the application or what the patient and caregiver see.  For example, if you move or delete a Google Calendar event, it does not change the event in the platform. If you want to reschedule or cancel a meeting, you must do so directly in the PocketRN platform. Once rescheduled or canceled in the platform, the calendar event will update on your Google Calendar, but all details you’ve altered will be replaced with the default information.
