Scheduling a Meeting

This is a step-by-step guide for scheduling a meeting. Please read the steps below and watch the accompanying demo video. In this demo, the care coordinator, Carrie Corden, schedules a meeting for her patient, Patrick “Pat” Goodheart.

Carrie Corden is a care coordinator for a facility with patients. Her job is to schedule a meeting for her patient, Patrick “Pat” Goodheart. Tori, Pat’s daughter and Power of Attorney, will be another participant of the meeting.

Ways to arrive

There are many ways to schedule a meeting on the PocketRN platform:

  • On the Home page, select Schedule an Appointment.
  • On the Meetings page, select Schedule a Meeting.
  • When creating a new patient, you will be prompted to schedule a meeting.

From a caregiver’s perspective

If you are a caregiver, you’ll typically need to select a patient to request a meeting.  Even if the patient will not be present for the meeting, it is important for the nurse to know which patient you are calling in about so they can appropriately look up their medical information and history.  If you need to add a patient, see: Support Article - Caregiver Adding a Patient.

Once you select a patient, you can schedule the meeting yourself, or assign the patient or someone else to schedule the meeting by selecting Send a Schedule Meeting Link.

If you want to meet a Nurse for a reason that doesn’t have to do with a specific patient, select Request a caregiver-only meeting.  Note that you should only choose this option if you are requesting general advice or training from the nurse and are not talking about a specific patient’s care.

Step-by-step

For this scenario, we’ll be considering the flow from Carrie’s, a care coordinator’s, perspective.  You’ll want to consider your situation and adjust accordingly.  The app will guide you through the process.

  • Choose the state of the patient’s current location at the time of the meeting. It is required by law that we only match the patient to a nurse who has a license in their current state.  We cannot fulfill calls with patients who are currently outside of the United States.
  • Select the most appropriate topic for the meeting that you can find in the list of options.  Topics have different meeting lengths or other expectations that you’ll want to consider.
  • Pick the date and time for the meeting. Make sure to pick a date and time when everyone you want to attend the meeting will be available. You also have the option to choose a specific Nurse that you want to meet with. However, choosing Any Available Nurse will enable the maximum availability of all nurses.  If you cannot find an appropriate time slot, contact our support team for further instructions.
  • You may invite any number of additional participants to a meeting by either selecting a caregiver or adding a specific email or phone number to be sent a meeting invitation and meeting reminders.  If a participant will be frequently joining the patient’s meetings, we recommend adding them as a caregiver so their contact details and notification preferences will be saved for later.  Until a caregiver has approved your invitation on the app, they will be listed by their email or phone number rather than their name to ensure their privacy.
  • On the next screen, confirm you have the meeting details correct, optionally add a note to the Nurse to view before the meeting, and click Confirm Meeting to schedule it.
